Auction Planning 1-08-04
  1. Overall to-do list:
    1. Mail solicitations for donations. Huge mass mailing to everyone on last year's list.
      1. Ali will get letterhead and envelopes & put them in EJF locker.
      2. Ethan has drafted an initial letter to potential corporate donors/sponsors.
    2. Meet w/Dean Devigne about alcohol. Ali will set this up.
      1. Alcohol question (possibly for Andrew M): Is there any legal way that we can get the alcohol donated? I.e.: A bar can't donate, but what about a liquor store or liquor distributor? If it's possible, we need to work hard to get the alcohol donated.
      2. Also, what form of beer is best? Can we do kegs w/plastic cups?
    3. General EJF meeting w/Exec Board and full Auction committee to discuss everything that needs to be done and delegate tasks. Next week (Mon 1/12 or Thurs 1/14).
    4. Auction Kick-off meeting to begin getting word out and enlist volunteers.
      1. Possible dates:
        1. Weds 1/14, 5-6 p.m. This is the best option because it's the same evening as a Mock Trial info meeting which many people will be attending.
        2. Thurs 1/15, 5-6 p.m.
        3. Weds 1/21, 5-6 p.m.
      2. Todd will email EJF exec board and Auction Committee to get feedback on preferred date.
      3. We should also announce this Kick-off meeting in all 1L sections; try to get people excited about the idea that this is a great way to earn money for summer
      4. We need to blitz the school with flyers to get as many people there as possible—Alyson?
      5. Volunteer info packet: George will work on revising it. We need to submit to copy center 24-48 hrs. before we need copies. (How many do we need?) Basic info we need to update:
        1. How many donations do volunteers need to get to qualify for scholarships? (5? 7?) Will donations from faculty count? We should also consider additional/alternative incentive structures for volunteers, i.e.: recognition at the auction w/a title they can put on their resumes.
        2. When are scholarship applications due?
        3. When will scholarship recipients be announced?
    5. Enlisting Auctioneers:
      1. Schecter (George)
      2. Cheh, Cirulnik (sp?), Dean Johnson, SBA Pres (Ali)
      3. Maggs, Butler (Todd)
    6. Securing donations from faculty
      1. George will generate list of faculty to contact
      2. We need to try to ask all faculty personally (at least as much as possible)
    7. Lexis & Westlaw—Have they been contacted? If not, they need to be ASAP. Starting points should be the on-campus reps (John Lim for Westlaw
    8. Alumni Stuff—what are we doing with that?
    9. Ebay: Alyson's working on this.
    10. Raffle, t-shirts? Are we going to do these things?
